Vida are committed to maintaining the accuracy, confidentiality and security of any personal information that we gather. This Privacy Notice describes the information that we collect from or about you, how we use the information, and who we share information with.
Information provided by you when using the Vida website will be held on servers and used to review and improve the website and online services, and to enable us to provide information you have requested. We will not sell your personal information, and will not hold data for any longer than is necessary for the purpose it was provided for.
The website includes hyperlinks to other websites – if you use these you will be leaving the Vida website, and your access and use of other websites will not be governed by this Notice.
You have the right to request access to and/or the correction or deletion of any personal information about you held by us.
Vida owns all of the information we collect. We retain appropriate records to contact you about our services and events.
We also collect and retain information that helps us to manage our work and assess its reach and impact, and might include a number of personal details that you share with us.
This information helps us ensure that our communications with you are relevant and suitable.
We need to keep a record of personal information about clients in our service and their children. This information includes name, address, d.o.b., age, ethnicity, disability, sexuality as well as support, safety planning and risk assessment information. This information is stored in an electronic case management system [CRMS], and access to that system is password protected and strictly controlled. You will always be asked directly for personal information and we will let you know how the information will be used.
We do not share your personal information with any other organisations without your express consent. Sometimes funders ask that we share information about our work. Any data shared would always be anonymised and would refer to overall statistics, not to individuals. We will sometimes have to pass on information to others (e.g. Police, Social Services), where failure to do so could be illegal or would pose a threat to the safety of yourself, your children and others.
We endeavour to keep your information safe, secure and accurate. Policies and procedures are designed to protect your information from loss and unauthorised access, copying, use, modification or disclosure.
We only retain your information for as long as necessary i.e. while it is being used for purpose it was collected for. We have set limits on retention of data and will dispose of that data after the due date, following a review.
